Before we jump into the how-to, let's quickly cover why mastering this process is crucial:

  1. Faster Payments: The quicker you invoice, the quicker you get paid.

  3. Accurate Tracking: Proper invoicing ensures all your sales are recorded correctly.

  4. Commission Calculation: Cosmicly uses these invoices to calculate commissions automatically.

Now, let's get to the good stuff!

Creating a New Invoice

  1. Navigate to the Invoices section in your Cosmicly dashboard.

  2. Click the "+ New Invoice" button in the top right corner.

  3. You'll see the "Create Invoice" popup window. Let's break it down:

Details Section

  • Customer: Select the customer from the dropdown. If they're not there, you can add a new one.

  • Product: Choose the product or service you're billing for.

  • Price: Select the pricing option. This will auto-populate based on your product settings.

  • Change price: Need to adjust the price? Click here to customize.

Owners Section

  • Member: Select the team member responsible for this sale.

  • Role: Assign their role for this specific sale (e.g., Closer, Account Manager).

Settings

  • Custom "Thank You" page URL: Toggle this on to set a specific landing page for after payment.

  • If your workspace doesn't have a default URL set, you'll see a warning. Click "Settings" to set one up.

Sending the Invoice

Once you've filled out all the details:

  1. Click "Create Invoice" at the bottom of the popup.

  2. You'll see a confirmation screen with the invoice details.

  3. From here, you have two options:

    • "Send email": This will send an email with the invoice to your customer.

    • "Copy payment link": This gives you a link you can send to your customer directly.

Managing Invoices

After creating invoices, you can manage them from the main Invoices screen:

  • Status: Keep an eye on whether invoices are Active, Completed, or Pending.

  • Plan: This shows the payment structure (e.g., $1,000 every month, $500 every week).

  • Remaining Payments: For subscriptions or payment plans, this shows how many payments are left.

  • Type: Quickly identify if it's a Subscription, Payment Plan, or Single Payment.

Pro Tips for Invoicing Success

  1. Use Pre-set Products: Set up your common products and pricing in advance to speed up the invoicing process.

  2. Consistent Naming: Use clear, consistent names for your products to avoid confusion.

  3. Double-Check Details: Always review the invoice details before sending, especially custom prices.

  4. Follow Up: Use the Invoices screen to keep track of pending invoices and follow up as needed.

  5. Customize Thank You Pages: Use product-specific thank you pages to guide customers to next steps or upsells.
